CANCELLATION POLICY
FOR PRIVATE LESSONS
We understand that sometimes circumstances arise that may require you to cancel your fencing lesson or class. In order to provide the best possible service to all of our members, we have established the following cancellation policy:
PAYMENT & BOOKING POLICY
Private lessons must be paid in advance to secure the booking. Payment can be made by cash, e-transfer, credit or debit card, or online payment. A three percent processing fee applies to all credit card transactions.
All private lessons after the first session must be purchased in packages of five, ten, fifteen, or twenty. This structure reduces administrative work and ensures that students can reserve and maintain their preferred private lesson times.
CANCELLATION WITH 48+ HOURS NOTICE
Cancellations must be made at least 48 hours before the scheduled lesson to receive a full refund. If a cancellation is made with less than 48 hours notice, a 50% cancellation fee will be charged.
CANCELLATION POLICY WITH LESS THAN 48 HOURS NOTICE
If a student is unable to attend a lesson due to illness, a doctor's note confirming the illness must be provided at least 24 hours before the scheduled lesson to receive a full refund. If the note is provided less than 24 hours before the scheduled lesson, a 50% cancellation fee will be charged.
LATE POLICY
If a student is more than 15 minutes late for a scheduled lesson, the coach reserves the right to cancel the lesson and charge the full lesson fee.
LATE CANCELLATION AND ATTENDANCE CONSISTENCY POLICY
Consistent attendance helps students progress and allows us to keep the private lesson schedule fair for everyone. Repeated late cancellations or frequent missed lessons may result in the loss of a preferred private lesson time.
If a student regularly cancels inside the required notice window or repeatedly misses scheduled lessons, the time slot may be offered to another student who is able to attend consistently.
We will always communicate with the family before a change is made. Our goal is to support the student’s training while keeping the schedule reliable for all families.
COACH CANCELLATION POLICY
If a coach needs to cancel a lesson for any reason, the student will be notified as soon as possible and will receive a full refund or the option to reschedule.
HOLDS AND MAKE UP POLICY
FOR MEMBERSHIP CLASSES
This policy explains how membership holds work, how sick day absences are handled, and when make up classes are available. These guidelines are here to help parents and members understand timelines and support smooth scheduling for the club.
MEMBERSHIP WEEK STRUCTURE
Our membership week begins on Monday and ends on Sunday. This allows families to request holds during weekends or at the start of the week and creates consistent scheduling for our coaches and administration.
ELIGIBILITY ON HOLDS
All memberships can request holds for a minimum duration of one full week. Holds shorter than a week create significant administrative burden and disrupt billing accuracy, so they cannot be approved. Memberships may be placed on hold for a maximum of three months per calendar year. This total includes all reasons for holds, including sick days, travel, school breaks, and other personal circumstances.
HOW TO REQUEST A HOLD
All hold requests must be emailed to athenafencingclub@gmail.com
at the start of the week that the hold should begin. Holds cannot be applied backwards to dates before the day the request is received.
SICK DAY HOLDS
Sick day holds are accepted. Holds begin on the date we receive your email to the end of the membership week. We do not retroactively adjust billing for classes missed prior to the request. Sick day holds count toward the three month annual maximum.
EXAMPLES FOR CLARITY
If a member is away for the full week and we receive notice on Tuesday, the hold begins on Tuesday and continues through the following Monday.
If a member misses both Tuesday and Thursday but notice arrives on Thursday, the hold begins on Thursday and continues through the following Monday.
If a member attends any class during the week, even if earlier sessions were missed, the absence does not qualify for a hold.
MAKE UP CLASS POLICY
Make up classes are only available when there is an additional class to attend. If your membership tier already includes the maximum number of weekly classes offered, then make up classes are not available because there is no extra session to move into.
Members on a once per week plan may request a make up when there is another class available in their billing period.
Members on a two times per week plan may request a make up only when a third class option exists in the schedule.
All make ups must be arranged in advance and used within the active membership period.
CANCELLATION POLICY
Membership cancellations must be submitted by email before the next billing cycle. Cancellations cannot be applied retroactively. Membership benefits continue until the end of the paid period.
